Job Description:


Provides administrative and secretarial support to an upper level manager. Conducts comprehensive research and other administrative duties. Supervises and plans work of assigned staff.


Job Responsibilities & Performance Standards:

1.
Assists managers or supervisors in performance of management responsibilities and projects
2.
Composes, types, and distributes meeting notes, correspondence, and reports
3.
Maintains scheduling and event calendars
4.
Provides secretarial and administrative support to an upper-level manager
5.
Purchases and maintains supplies and/or stock items
6.
Researches information necessary to respond to incoming correspondence requiring replies
7.
Supervises support and/or lower level employees
8.
Uses computer application software
9.
Uses initiative to perform administrative, clerical, and secretarial duties in support of a division, unit, or an individual


Sample Technical Competencies:

1.
Knowledge of general office procedures including typing, filing etc.
2.
Ability to compose correspondence that is both concise and professional
3.
Ability to open, sort and route incoming mail, answer correspondence and prepare outgoing mail
4.
Organizational skills
5.
Knowledge of office software i.e. Microsoft Office
6.
Ability to make decisions with regard to job assignments and manage office workload
7.
Ability to delegate work assignments

Entry Qualifications:

Three years related experience OR Associate degree or two years of college and one year experience as a lead secretary OR Two years at the lower level or position equivalent (GSS052) Note: Some positions may require an examination
